Student Employment Guidelines


Quick Guidelines for Supervisors

  • Maximum 25 hours per week total across all student positions (20 hours for international students).
  • Must be directly supervised at all times.
  • Must meet minimum enrollment requirements.
  • May not perform classified-level duties.
  • All positions must be posted on the SRJC job board, Handshake, with a current job description.

Student Worker General Description

A part-time employee enrolled at Santa Rosa Junior College. Employment is interim or temporary in nature and incidental to the pursuit of the student’s education. There is no guarantee of employment, implied or otherwise.

Student employment serves as both financial support and an educational tool to develop job skills and enhance future career opportunities.

 

Guidelines & Regulations

Employment Limits

  • Maximum 25 hours per week across all student positions.
  • Must be enrolled in at least 6 units (fall/spring) or 3 units (summer).
  • International students must be enrolled in 12 units (fall/spring) or 3 units (summer).
  • International students are limited to 20 hours per week while classes are in session.

Supervision

  • Must be under direct supervision of a supervisor or designated proxy at all times.
  • May not work as both a student employee and classified employee simultaneously.
  • May work as an STNC and student in different departments.

Hiring Requirements

  • All student employment positions must be posted on the SRJC job board.
  • Student employees may not be placed in classified bargaining unit job classifications.

 

 

Prohibited Duties

Academic & Personnel Restrictions

  • May not complete or deliver performance evaluations of faculty or classified staff.
  • May not teach.
  • May not enter grades unless FERPA training has occurred and authorization is granted.
  • May not access grades without proper authorization.

Supervision & Security

  • May not be left alone in a classroom without immediate access to a supervisor or proxy.
  • May not access employee passwords.
  • May not work from off-campus locations without prior approval and direct supervision.

Compliance & Conduct

  • May not perform personal services for district employees.
  • May not work remotely. 
  • May not perform district work without being paid through district payroll.
  • May not be supervised by a family member (Board Policy 4.3.4).

International Students – Additional Requirements

Hours & Location

  • Limited to 20 hours per week during the semester.
  • May increase hours during winter and summer breaks.
  • On-campus employment only during first year of F-1 status.
  • May work at Santa Rosa, Petaluma, Shone Farm, Roseland, and Public Safety Training Center campuses.
  • No telecommuting permitted.

I-9, SSN & Tax Information

  • F-1 students must receive a job offer before applying for a Social Security Number.
  • An employment eligibility letter from ISP is required.
  • SSA receipt may be used to begin work once submitted to the Career Hub.
  • Generally exempt from Social Security and Medicare taxes.
  • Must receive a W-2 for tax filing.

Unauthorized Employment

  • Any unauthorized compensated activity violates F-1 status.
  • Unauthorized employment requires SEVIS termination.
  • SEVIS termination has serious, long-term immigration consequences.
